Meeting Minutes (Saturday, October 3, 2009)

Agenda:
Organizational Structure
· The meeting attendees decided that the officers of President, Vice President of Outreach and Volunteer Management, Vice President of Web and Communications, and Professional Development Chair needed to be immediately filled.
· A decision was made to combine the Special Events Chair role with the Vice President of Outreach and Volunteer Management role resulting in an officer title change to Vice President of Outreach, Volunteer Management, and Special Events.
Election of Chapter Officers
· Elections were conducted for the officer positions of President; Vice President of Outreach, Volunteer Management and Special Events; Vice President of Web and Communications; and Professional Development Chair. The results of the elections are reflected in the table below.

· The initial chapter officer terms will expire June 30, 2011. Going forward officer elections will take place during the month of June on an annual basis with an effective start date of July 1. Terms will be for a 1-year period.
Define Measureable Chapter Goals and Adopted Programs
· It was decided that the single and most important goal for the chapter is to increase chapter membership and involvement. Once membership increases additional goals will be explored.
· To increase chapter membership and involvement the group decided on the following:
o Identify four (4) alumni social events for the 2010 calendar year
o Ensure that there are advanced communications concerning all social events and chapter meetings. Social events can include friends of JMU.
o Reach out to current JMU students who are from the Tampa Bay region and encourage participation
o Consider the following counties as part of the Tampa region re event communications: Citrus, Hernando, Hillsborough, Pasco, Pinellas, Polk, Manatee, and Sarasota.
Establish an Event Schedule
· A total of four (4) social events were identified for the 2010 calendar year, which are:
Alumni Barbecue at Philippe Park, Safety Harbor (March). Grills will be provided, however, attendees are to bring their own food, drink, paper products, utensils, etc. Event coordinators: Jana Jones, Jarrod Lacombe, and Mike Clayton.
Bowling at Pinarama Bowling Center, South Tampa (June). Food and drink will be available for purchase. Event coordinator: Jana Jones.
Freshman Sendoff at Bruce and Karen Boslaugh’s (JMU ’84) home located in Riverview (August). Attendees are to bring prepared food dishes and beverages for a potluck dinner. Event coordinators: Bruce Boslaugh, Karen Boslaugh, and Mike Clayton.
Holiday Party during the first Saturday in December (2010). Location of the event is to be determined. Event coordinator: Jana Jones.
Additional Business
· The following was discussed:
Philanthropic Events. The attendees recognized that philanthropic activities will need to be part of the chapter’s make-up. Bob Lindstrom volunteered to track philanthropic activities that chapter members attend or coordinate.
Official Alumni and Student List. Mike Clayton will request from the JMU Office of Alumni an updated alumni list that includes all JMU alumni in the chapter’s defined “Tampa region”. Additionally, he will request a list of current JMU students who are from the Tampa region. Updated lists will be used for future chapter communications.
Administering the Chapter’s Email ID. Mike Clayton will manage the email traffic being sent to and from the tampachpt@alumni.jmu.edu email ID. A review of the email received will be conducted at least once weekly.
Student Care Packages. The sending of student care packages to Tampa region JMU students was discussed. It was decided that this activity would be tabled for future consideration.
Alumni Group Handbook. Mike Clayton will send the official JMU Alumni Handbook (pdf format) to all Chapter Officers.
Alumni Chapter of Tampa Web Site. Heather Andrews will design the chapter’s web site in conjunction with the requirements outlined by the University’s Office of Alumni. Sections part of the web site should include:
a) About Us (Welcome Letter from President, Chapter Overview, and List of Chapter Officers);
b) Meetings (Announcements, Minutes);
c) Calendar of Events;
d) Professional Development;
e) Event Scrapbook; and
f) Helpful Links

2009 JMU Homecoming Banner Contest. The JMU Alumni Chapter of Tampa has entered the banner contest to promote chapter exposure. The unveiling of all alumni chapter banners will take place during homecoming week.
